Everything you need to know to get the most out of Rockwall.
Rockwall is a professional project management platform with Gantt charts, WBS views, resource management, baselines, earned value analysis, RAID and Requirements logs, status updates, and PDM auto-scheduling. This tutorial covers all major features in detail.
Go to Projects → New Project. Fill in: Name, Start Date, End Date (required), Project Manager, Department, Budget, and Status. Set On-Track (RAG) status to Green/Amber/Red for executive visibility. Projects appear on the Dashboard once created. The project start date anchors the PDM auto-scheduler.
In the Gantt view, click the "Calendar" button in the toolbar. Set working days (e.g. Mon–Fri), hours per day (default 8), and add holidays with labels. Holidays appear shaded on the Gantt timeline. The calendar affects all scheduling calculations — set it before running Auto-Schedule.
Key project fields: Start/End Date = planned schedule boundaries. Baseline Start/End = original approved dates for comparison. Budget = total approved cost. Actual Cost = money spent to date. Percent Complete = overall progress (0–100%). On-Track RAG = health signal (green/amber/red). Sponsor = executive accountable for the project.
The Master report is the full project health dashboard. It shows: overall % complete (duration-weighted average of all leaf tasks), RAG on-track status, task counts by status, overdue tasks, upcoming milestones, top risks (from the RAID Log), requirements summary, status updates, EVM metrics, and a full task breakdown. Use this as your primary go-to view for a complete project snapshot.
The Executive report is a concise one-page summary designed for steering committees and sponsors. It highlights overall progress, RAG status, key milestones, budget vs. actual cost, the top RAID entries, and critical issues — without the full task list. Ideal for weekly leadership updates.
The Project Team report is an internal-facing view showing the full task list with status, assignments, % complete, start/end dates, and upcoming deadlines. It also summarises resources and their allocations, and includes relevant status updates. Use it for team stand-ups, sprint planning, and workload reviews.
The Stakeholder report is an external-audience-friendly summary covering project health, milestone status, key risks, requirements status, high-level progress, and selected status updates — without exposing internal task details or costs. Share this with clients, partners, or governance boards.
Four report types are available across the app: Master (full dashboard), Executive (leadership one-pager), Project Team (internal task & resource view), and Stakeholder (external-facing summary). The Admin Report Builder lets admins compose custom reports from a library of sections (header, progress, RAG, EVM, RAID, requirements, milestones, status updates, task tables, and more) and publish them to specific audiences.
Progress % in all reports is derived from tasks: leaf task % complete is entered manually (0–100). Summary task % rolls up automatically as a duration-weighted average of its children. Project overall % is the duration-weighted average across all leaf tasks. RAG status (Green/Amber/Red) is set manually on the Project record — the system does not auto-compute it.
Each report tab has its own Export button for a PDF tailored to that audience. The Gantt Export menu (toolbar) offers: "Gantt Report PDF" (polished A4 PDF with WBS, task table, dependencies, and resources), "Download CSV" (the complete WBS — every row and every column, including collapsed and hidden tasks), and "Print / Save as PDF" (browser print dialog).
In the Reports page toolbar, click the "Share" button (link icon) to open the Share Report Link panel. Click "+ New Link" to generate a unique URL for the current report type and project. Copy the URL and send it to anyone — recipients can view the live report in read-only mode with no login required. Each link shows its creation date and active status. You can Disable a link (temporarily blocks access without deleting it) or Delete it permanently. Multiple links can exist for the same report, allowing you to share different versions with different audiences.
Click the "Schedule" button (clock icon) in the Reports toolbar to open Snapshot Schedules. Under "Capture Snapshot Now" click any report type (Master, Executive, Project Team, Stakeholder) to immediately save a permanent copy of the current report data. Under "Auto-Snapshot Schedules", click "+ Add" to create a recurring schedule — choose the report type (e.g. Executive) and frequency (e.g. End of Week on Fridays). The system will automatically capture and store a snapshot at each scheduled interval. Click "Run now" next to any schedule to trigger it immediately. Click × to remove a schedule.
Click the "History" button in the Reports toolbar to open the Report History viewer. The left panel lists all saved snapshots grouped by date, showing the report type, snapshot frequency label (e.g. Manual, Weekly), and task count at the time. Click any snapshot to load the full report as it appeared on that date — all data is frozen to that moment in time. Use the type filter dropdown ("All Report Types") to show only Executive, Master, Team, or Stakeholder snapshots. From within a snapshot, you can share it via the Share Link button or download it as a PDF. This gives you a full audit trail of project health over time.
